Status Update Notification Emails

Status update emails notify donors when their registration status changes. These are most relevant for Approval Required events.

How to Set Up

  1. Open the event and go to the Emails tab

  2. Click Status Update Notifications

  3. Enable the email

  4. For each status transition, enable or disable the notification and customize the message

  5. Save

Status Transitions That Can Trigger a Notification

Transition

Example Use

Pending → Confirmed (Approved)

"Your registration has been approved"

Pending → Rejected

"We were unable to confirm your registration"

Confirmed → Waitlisted

"You've been moved to the waitlist"

Any → Cancelled

"Your registration has been cancelled"

Each transition has its own toggle and editable message. You can enable some and not others.

Things to Watch For

  • Status update emails are not enabled by default. If you run an Approval Required event without configuring these, donors will have no way of knowing their registration was approved or rejected unless they check back manually.

  • Cancellations triggered by staff do not auto-notify the donor unless the Cancelled notification is enabled.

  • If a registration is moved through multiple statuses quickly (e.g., Pending → Confirmed → Cancelled), a notification fires for each enabled transition.
