How WeGive Integrations Work

Data Sync Frequency

CRM Integrations:

  • Push to CRM: Real-time (data is sent immediately when created/updated in WeGive)

  • Pull from CRM: Every 15 minutes (WeGive checks for updates from your CRM)

Zapier Integration:

  • Triggered based on your Zap configuration (typically real-time or near real-time)

What Data Syncs

While each integration varies in the data they sync, most WeGive integrations sync the following data bi-directionally:

  • Donor Records: Contact information, addresses, phone numbers, email addresses

  • Fund/Designation Information: Your giving categories and funds

  • Transaction History: One-time and recurring donations

  • Recurring Donation Plans: Active subscriptions and scheduled gifts

Setting Up CRM Integrations

General Setup Process

  1. Navigate to Integrations

    • Go to Data → Integrations in your WeGive dashboard

    • Click "+ New Integration"

    • Select your CRM platform

    • Click Create

  2. Configure Connection Settings

    • Enter required credentials (API keys, authentication details)

    • Configure sync settings (what data to sync and in which direction)

    • Set up field mappings

  3. Test and Enable

    • Test the connection

    • Configure sync preferences

    • Enable the integration

    • Begin initial sync

Salesforce NPSP Integration

Requirements

Salesforce Edition Required:

  • Enterprise Edition

  • Unlimited Edition

  • Developer Edition

Required Packages:

  1. WeGive Managed Package - Must be installed before setup:

    • For Sandbox/Scratch Orgs: Use the sandbox installation link

    • For Production/Developer Orgs: Use the production installation link

  2. Nonprofit Success Pack (NPSP) - Must be installed in your Salesforce org

User Permissions Required

The Salesforce user connecting to WeGive must have:

  • API Enabled

  • Modify All Data

  • Customize Application

  • View Setup and Configuration

  • View All Data

Important Considerations

Field-Level Security: All mapped fields must be visible to the API user, even for system administrators. Hidden fields will cause sync errors.

Environment Matching:

  • WeGive production accounts can only connect to Salesforce production instances

  • WeGive test accounts can only connect to Salesforce sandbox instances

Manual Sync Options

  • Sync All: Pulls all data from the beginning

  • Sync Since Last Update: Pulls only recent changes

  • Sync by Object Type: Focus on specific data types (transactions, donors, funds, etc.)

Bloomerang Integration

Setup Steps

  1. Generate API Key in Bloomerang

    • Log into Bloomerang as an Administrator

    • Navigate to Settings → Users

    • Click Generate in the API Keys v2.0 section

    • Name it descriptively (e.g., "WeGive Integration Key")

    • Copy the generated API key

  2. Find Your Default Fund ID

    • In Bloomerang, go to Settings → Custom Data → Funds

    • Click on your default fund

    • Copy the Fund ID from the URL

    • Note: Bloomerang requires all transactions to have a Fund ID, so this is mandatory

  3. Configure in WeGive

    • Paste your Bloomerang API key into WeGive

    • Paste your Default Fund ID

    • Enable desired sync options:

      • Push/Pull Donors: Sync supporter data

      • Push/Pull Transactions: Sync payment data

      • Push/Pull Funds: Sync designation data

  4. Start Initial Sync

    • Click Enable then Begin Sync

    • Allow 60+ minutes for the initial sync

    • Note: Bloomerang's API is limited to 20 records per request, so large datasets take time

Manual Sync Options

  • Sync All: Complete data pull from Bloomerang

  • Sync Since Last Update: Incremental sync from last successful pull

Monitoring Your Integration

Integration Logs

Navigate to Data → Integration Logs to monitor:

  • Pull Logs: Shows when WeGive pulls data from your CRM

  • Push Logs: Shows when WeGive sends data to your CRM

  • Error Logs: Displays failed sync attempts with detailed error messages

Integration Locks

If a record fails to sync 3 times, it's moved to Data → Integration Locks to prevent infinite retry loops.

To resolve locked records:

  1. Review the error details in Integration Locks

  2. Fix the underlying issue (permissions, field mappings, etc.)

  3. Delete the lock to allow WeGive to retry the sync

Using Integrations for Data Migration

WeGive integrations can be used for both:

Ongoing Synchronization:

  • Keeps WeGive and your CRM in sync continuously

  • Updates flow bi-directionally in real-time or near real-time

One-Time Data Import:

  • Migrate existing donor records from your previous system

  • Import historical transaction data

  • Transfer recurring donation plans

Each integration includes detailed field mapping and configuration options to ensure your data migrates accurately.

Best Practices

  1. Start with a test environment when possible (sandbox for Salesforce, test account for WeGive)

  2. Verify field permissions before enabling sync to avoid errors

  3. Plan your field mappings carefully - consider scheduling a mapping meeting for complex setups

  4. Allow sufficient time for initial sync, especially with large datasets (60+ minutes is common)

  5. Monitor integration logs regularly for the first few days after setup

  6. Determine data ownership - decide which system manages which updates to avoid sync conflicts

  7. Document your configuration - keep notes on your field mappings and sync settings

Troubleshooting Common Issues

Connection Failures:

  • Verify API credentials are correct and haven't expired

  • Ensure environment matching (production to production, sandbox to sandbox)

  • Check that the API user has required permissions

Field Sync Errors:

  • Confirm all mapped fields are visible to the API user

  • Verify field-level security settings in your CRM

  • Check for required fields that may be missing data

Slow Syncs:

  • Normal for initial sync, especially with large datasets

  • Bloomerang syncs are particularly slow due to API limitations (20 records per request)

  • Subsequent syncs will be much faster

Missing Data:

  • Check Data → Integration Locks for failed records

  • Review error messages for specific issues

  • Verify sync direction settings (push/pull) are configured correctly

Duplicate Records:

  • Ensure proper matching fields are configured

  • Check for slight variations in donor names or email addresses

  • Review your CRM's duplicate detection rules
