When reviewing transaction statuses in your dashboard, you may encounter transactions marked as "voided" rather than "refunded." Understanding the difference between these two statuses is important for accurate financial tracking and customer communication.

What is a Voided Transaction?

A voided transaction is a charge that was stopped before it fully processed through the payment system. When a transaction is voided:

  • No money actually moves from the customer's account

  • No refund is needed since the charge never completed

  • The transaction appears as "voided" in your dashboard

What is a Refunded Transaction?

A refunded transaction is one where the charge was successfully processed and money was transferred, but then returned to the customer. Refunded transactions:

  • Show money moving back to the customer's account

  • Appear as negative amounts in payout reports

  • Are reflected in your payout summaries and bank deposits

Why Might a Transaction Show as Voided Despite Confirmation?

In some cases, customers may receive confirmation emails for transactions that later appear as voided in your system. This can happen when:

  • The initial authorization was successful but the final charge processing failed

  • Payment processor security measures flagged the transaction after initial approval

  • Technical issues occurred between authorization and settlement

Checking Transaction Details

If you need to investigate the specific reason why a transaction was voided rather than refunded, you may need to:

  1. Review the transaction details in your payment processor's system

  2. Contact your payment processor support team for detailed transaction logs

  3. Check if the customer's payment method had any issues (expired card, insufficient funds, etc.)

When reviewing payout discrepancies, remember that:

  • Voided transactions will not appear in your payout summaries since no money moved

  • Refunded transactions will show as negative amounts and reduce your total payout

  • If you see differences between transaction reports and payout summaries, look for refunded transactions that occurred on the same date
