Capacity Limits and Sold-Out Behavior

WeGive supports capacity limits at two levels: the overall event and individual ticket types. Both are optional.

Both limits can be active at the same time. A ticket type will sell out when either its own capacity is reached or the event-level capacity is reached, whichever comes first.

What Donors See When Sold Out

  • If a ticket type is sold out, it is grayed out on the registration page and cannot be selected.

  • If the entire event is sold out, the registration page shows a sold-out message and the registration form is hidden.

Capacity Counts

Capacity is counted against completed registrations only. Abandoned registrations (started but not submitted) do not hold capacity.

For Approval Required events, pending registrations count against capacity once submitted, before approval.

Adjusting Capacity

You can increase or decrease capacity on a live event at any time. Decreasing below the current registration count does not cancel existing registrations — it simply prevents new ones.

Things to Watch For

  • There is no built-in waitlist feature. If you need a waitlist, use the Approval Required access type and communicate waitlist status manually.

  • Capacity changes take effect immediately with no confirmation step.

  • If no capacity is set at either level, the event accepts unlimited registrations.
