Email Templates (updated): Creating, Managing, And Converting Messages
Overview
Email Templates allow you to create beautifully formatted emails for both regular messages and triggered messages. Instead of sending plain‑text emails, you can design visually engaging emails that include your organization’s branding, images, videos, buttons, and dynamic merge tags.
You can now convert any existing sent or draft email message directly into a reusable email template—making it even easier to standardize and reuse high‑performing emails.
Email Templates are powered by Stripo, a professional‑grade email builder integrated into WeGive.
How to Access Email Templates
Go to the Engagement tab.
Click Email Templates.
You’ll land on the Email Template Table, which displays:
Template ID
Template Name
Created Date
Last Updated Date
From here, you can:
Filter to view active or archived templates
Archive templates using the trash bin icon
Create a new template using the plus (+) button
Creating a New Email Template
Click the plus (+) sign.
Choose from two sections:
My Templates: Templates you’ve already created
Base Templates: Prebuilt templates provided by WeGive
Base Templates include:
Drag‑and‑drop templates
HTML templates
Fully customizable layouts
There are ~30 base templates to choose from.
Select a template.
Enter a name (e.g., Payment Success Template).
Click Open Editor to customize.
Customizing an Email Template
Inside the editor, you can customize both layout and content:
Layout (Structures)
One‑column, two‑column, or three‑column sections
Flexible layout blocks for responsive design
Content Blocks
Text
Images
Buttons
Videos
Text Editor Options
Font and heading styles
Colors
Alignment and spacing
Merge Tags (Dynamic Content)
Insert supporter‑specific data (e.g., Supporter Name, Payment Amount)
Access merge tags by clicking Merge Tags in the top‑right of the text editor
Note: Available merge tags update automatically based on the trigger type selected later.
Saving and Managing Templates
Click Save when your design is complete
Preview using the eye icon
Duplicate templates to create variations
Once saved, templates can be reused across multiple regular messages and triggered messages.
Convert an Existing Message into an Email Template
You can now turn any sent or draft email message into a reusable template.
How to Convert a Message to a Template
Go to Engagement → Messages.
Open an existing email message (sent or draft).
Click More in the top‑right corner.
Select Convert to Template.
The system will:
Save the message as a new Email Template
Retain all styling, formatting, images, and content
Make the template available immediately in the Email Templates library
This is especially helpful for:
Reusing high‑performing campaign emails
Turning one‑off emails into standardized templates
Quickly building a template library from existing content
Using an Email Template in a Message
Go to Engagement → Messages.
Click the plus (+) sign to create a new message.
Choose:
Regular Message (one‑time send), or
Triggered Message (sent automatically based on an event)
Select Email as the format (not Plain Text Email).
Choose your saved Email Template.
For Triggered Messages
Select the appropriate trigger (e.g., Payment Success, Payment Failure)
Merge tags available in the editor will automatically adjust to match the trigger
For Regular Messages
Customize content as needed
Select your audience and send
Best Practices & Notes
Create a Generic Base Template: Include your logo, brand colors, and email signature so it can be reused across many messages.
Trigger‑Specific Merge Tags: Merge tag options change dynamically once a trigger is selected.
Flexible Reuse:
Use one template across multiple triggers and customize per message, or
Create dedicated templates for specific triggers
