How to View and Manage a Donor's Payment Method on File

This guide explains how to find, add, and manage a donor's payment method on file within WeGive. The steps differ depending on whether your organization is using Dashboard V1 or Dashboard V2.


Dashboard V1

Viewing Payment Methods

  1. Go to the Supporter Record — Navigate to the supporter record by searching for their name in the Supporters section.

  2. Click on the "Related" Tab — Once inside the supporter record, select the Related tab.

  3. Scroll to the Payment Methods Section — The Payment Methods table displays the payment method type, charges, expiry, and email for each method on file.

Adding a Payment Method

  1. Open the Supporter Record — Navigate to the donor's supporter record.

  2. Click the Actions Dropdown — Click the Actions dropdown on the supporter record.

  3. Select "Add Payment Method" — Choose to add either a Card or a Bank Account.

    • Card — Enter the card number, name on card, CVV, postal code, and expiry date.

    • Bank — Enter the routing number and account number.

  4. Save — The new payment method will appear in the Payment Methods section under the Related tab.

Deleting a Payment Method

  1. Go to the Related Tab — Navigate to the Payment Methods section on the donor's Related tab.

  2. Click the Ellipsis (⋮) Menu — Click the three-dot menu next to the payment method you want to remove.

  3. Confirm Deletion — If the payment method is tied to an active recurring plan, a warning will appear letting you know. Deleting a payment method attached to a recurring plan will leave that plan without a payment method and may cause future charges to fail.

Viewing Payment Methods

  1. Go to the Supporter Record — Navigate to the supporter record by searching for their name in the Supporters section.

  2. Click on the "Giving" Tab — Once inside the supporter record, select the Giving tab.

  3. Scroll to the Payment Methods Section — The Payment Methods table displays all payment methods on file for the donor. Each row shows:

    • Payment Method — Card brand, last four digits, and expiry (e.g., Visa *1111 11/2032), or bank account details

    • Email — The email associated with the payment method

    • Status — Whether the method is Active or not

    • Total Charged — The total amount processed through that method

    • Charges — The number of times the method has been used

    • Last Used — When the method was last charged

Adding a Payment Method

  1. Open the Supporter Record — Navigate to the donor's supporter record.

  2. Click the ⋮ (more) Menu — In the top-right corner of the supporter record, click the three-dot menu.

  3. Select "Add payment method" — Under the ADD section, click Add payment method.

  4. Choose Card or Bank — Use the toggle at the top of the dialog to switch between Card and Bank.

    • Card — Enter the card number, name on card, CVV, postal code, and expiry date.

    • Bank — Enter the routing number and account number.

  5. Click "Save changes" — The new payment method will appear in the Payment Methods section under the Giving tab.

Note: Deleting a payment method is not currently available in Dashboard V2. To delete a payment method, use Dashboard V1 (see above).


Viewing Payment Methods on Transactions

To see which payment method was used for a specific transaction:

  1. Go to the Transaction Record — Open the donor's transaction history and select the relevant transaction.

  2. Find the Payment Method Field — The Payment Method field displays the method used for that transaction, formatted as the card brand and last four digits (e.g., "Visa 1234"), "Bank " and the last four digits for bank accounts, or "Offline" for offline transactions.


Viewing Payment Methods on a Recurring Plan

To see which payment method is associated with a recurring donation:

  1. Open the Recurring Plan Record — Navigate to the donor's recurring plan under their supporter record.

  2. Find the Payment Method Field — The Payment Method field displays the payment method currently being used for the recurring plan.


Changing a Payment Method on a Recurring Plan

  1. Click into the Recurring Plan — Open the recurring plan details.

  2. Click "Edit" — Click the Edit button on the recurring plan.

  3. Click on the Payment Method Field — This opens the payment method selector.

  4. Select an Existing Method or Add a New One — You can choose a different payment method already on file for the donor, or select "Add New" to enter new card or bank account details.

  5. Save — Save the changes. The recurring plan will use the updated payment method going forward.


Things to Watch For

  • Deleting a payment method tied to a recurring plan: If a donor deletes a payment method that is tied to a recurring plan, the plan will be left without a valid payment method and future charges will not process. The system displays a warning, but donors may confirm without reading it.

  • Household donors: For household donors, payment methods are pulled from the primary account holder's record. You may need to look at the primary donor's profile to manage them.

  • "Missing" payment method on a recurring plan: If a recurring plan shows the payment method as "Missing," the original method was deleted. The donor or an admin will need to update the plan with a new payment method.
