Querying, Filtering & Segmenting Your Data in WeGive

WeGive gives you multiple ways to find, filter, and segment your donor data — from quick table filters to dynamic audience lists that update automatically. This article walks through each tool and when to use it.
Table Views & Saved Filters
Every data table in WeGive (Supporters, Payments, Recurring Plans, Campaigns, etc.) has built-in filtering that lets you drill down to exactly the records you need.
How It Works: Click the filter icon at the top of any table, choose your criteria, and click "Set Filters." Combine multiple filters to narrow results — for example, all individual donors who gave more than $500 this year to a specific campaign. Save filter combos as presets for quick reuse, and share filtered views via URL with teammates.
Supporters Table filters: Created date range, amount given, donor type (individual/company/recurring), giving frequency, tags, communication lists, campaigns, households, integration sync status.
Payments Table filters: Date range (created/completed/refunded/failed), amount range, supporter, fund/designation, campaign, checkout form, payment method (card/bank/offline), transaction status, frequency, fee coverage, tribute/honor, UTM tracking.
Recurring Plans Table filters: Amount range, frequency, status (active/paused/cancelled/in arrears/expiring soon), next/last donation date, fund, campaign, payment processor.
Checkout Sessions Table filters: Date range, checkout form, donor, campaign, last step reached (for drop-off analysis), conversion type, UTM tracking.
Tags
Tags are internal labels for organizing, grouping, and segmenting supporters. You can create simple labels ("Board Member") or rule-based dynamic tags that auto-apply based on criteria like total donated, number of donations, campaigns given to, last login, address, checkout activity, and more. Toggle dynamic removal so supporters are automatically untagged when they no longer qualify. Tags can be applied manually, via bulk import, or automatically through Journey automation steps.
Communication Lists
Manual Lists — supporters subscribe via the Donor Portal or are added by your team. Great for opt-in newsletters.
Dynamic (Tag-Based) Lists — attach a tag and the list auto-populates with every supporter who has it. As the tag updates, so does the list. This gives you smart segments — define the criteria once, and the audience maintains itself.
Custom Fields
Available on Donors, Transactions, and Households.
Static Fields — manually entered data like preferences, referral sources, or internal categories.
Computed Fields — auto-calculated values that update in real-time. Examples: total donated to a campaign this year, last donation date, average gift amount, biggest single gift. Configured with an aggregation type (sum/max/min/count/average), attribute, and optional filters.
Custom fields can be used for table filtering, email personalization (merge tags), exports, and CRM sync mapping.
Exports
One-Time: Filter any table, select records, click Export, choose fields (including related data from connected records), download as CSV.
Scheduled Recurring: Set up daily/weekly/monthly/yearly automatic exports with relative date filters ("created in the last 7 days") so each run captures fresh data. Email notifications go out when the report is ready. Large exports auto-split at 100K rows.
All exports are managed under Data → Exports.
Putting It All Together
"Show me donors who gave to our annual campaign last year but haven't given this year" → Computed custom field for last donation date + tag with rules combining campaign + date criteria → dynamic communication list for re-engagement email.
"Weekly report of new recurring donors" → Filter Recurring Plans by status = active + created in last 7 days → scheduled export with weekly email delivery.
"Who are our top 50 donors this year?" → Filter Supporters by amount given (descending) + current year date range → save as preset, export, or tag for VIP communications.
