Reports Guide: Downloading Year-End Tax Statements

WeGive allows your organization to generate and download a CSV giving summary for all donors who gave during a selected year. The CSV includes each donor's contact information, total giving, donation count, and a link to their individual PDF tax document — making it a one-stop export for year-end tax reporting.

What the Export Includes

The generated CSV contains one row per donor with the following columns: WeGive ID, Donor Name, Donor First Name, Email 1, Email 2, Email 3, Total Given, Donation Count, Tax Document Link (a URL to the donor's PDF tax statement), Mailing Address 1, Mailing Address 2, Mailing City, Mailing State, Mailing Zip, Mailing Country, Salesforce ID, and Salesforce Account ID. Only successful transactions are included in the totals.

Where to Find It

There are two ways to generate a year-end giving summary. The navigation differs slightly depending on which version of the WeGive dashboard you are using.

Option 1: Annual Tax Statement Page (All Donors)

Use this to export year-end statements for every donor in your organization.

  • V2 Dashboard: Navigate to Settings → Reporting → Annual Tax Statement.

  • V1 Dashboard: Navigate to Settings → Reports.

From here, select the tax year and click "Download Year-End Statements" to generate the export.

Option 2: Supporters Table (Specific Donors or Custom Date Range)

Use this if you need to filter to specific donors or use a custom date range instead of a full calendar year.

  • V2 Dashboard: Go to Supporters, select one or more supporters, click More in the toolbar, then choose Giving Summary.

  • V1 Dashboard: Go to Supporters, select supporters, and use the giving summary export option.

How to Download Year-End Tax Statements

Step 1: Select the Tax Year

Choose the year for which you want to export tax statements (e.g., 2025). This covers donations made and receipted within that calendar year, adjusted to your organization's timezone.

Step 2: Click "Download Year-End Statements"

WeGive will begin generating the CSV in the background. Donors are processed in batches, so the export can handle organizations of any size.

Step 3: Access the File

Once the export finishes processing, you can download it and open it in any spreadsheet tool (Excel, Google Sheets, etc.). For very large organizations, the export may take anywhere from a few minutes to a few hours.

  • V2 Dashboard: The CSV will appear in your Scheduled Exports table (found under Settings → Reporting → Scheduled Exports).

  • V1 Dashboard: The CSV will appear in the Exports Table under the Data tab.

Note: The tax document links in the CSV are temporary and expire after 7 days. Download the PDF documents promptly or use the permanent links available through the individual supporter record.

Additional Tax Statement Options

This bulk export is one of several ways to provide tax documentation to your supporters:

  • Donor Portal: Supporters can log in and download their own year-end tax statements directly. This feature must be enabled in your Donor Portal settings (the "Show Tax Documents" toggle). You can also limit how many years of documents are available.

  • Triggered Messages: You can send tax statements through custom messages using the {{tax_document_link}} variable (inserts a link to the donor's PDF) and the {{total_donated_last_tax_year}} variable (inserts their total giving amount).

  • Individual Download: You can download a tax statement for any single supporter from their Supporter Record → Related tab → Tax Documents section. Click the ellipsis (⋯) next to the year you need.

Canadian Tax Receipts

WeGive supports CRA-compliant Canadian tax receipts as an alternative to the standard US format. If your organization needs Canadian receipts, enable the "Canadian Tax Receipts" setting in your Donor Portal configuration. Canadian receipts use a fixed CRA-compliant format and cannot be customized with a custom template.

Custom Tax Document Templates

For US organizations, you can customize the look and content of your tax documents by enabling the custom tax document option in Donor Portal settings and editing the template. The template supports merge variables for supporter information (name, address, email, etc.), tax data (year, total donated, number of donations, donation table), and organization details (name, address).

Best Practices

  • Generate your export early in tax season to allow time for review.

  • Download the PDF links within 7 days of generating the export, or use the individual supporter record for permanent links.

  • Use filters or tags in the Supporters table to cross-reference the CSV.

  • Store a copy of each year's export securely for recordkeeping and compliance.
